Document Manager is the central hub for controlling your document library within AIQ Data. It gives you the ability to upload files, keep them organized, and ensure only the right people can access them.
Document Upload & Automatic Indexing
When you upload a document, the system automatically begins processing it in the background. During this process, known as indexing, the document is analysed and prepared so the AI can accurately search, reference, and retrieve information from its contents.
No additional action is required. Indexing starts automatically as soon as the file is uploaded.
Indexing: This is the process of analyzing and organizing a document so the AI can quickly search, understand, and retrieve information from it.
Folder Organization
Documents can be placed into folders (also called locations) to keep your content structured and easy to find. This is especially useful when managing large numbers of files across different teams or topics.
You can create new folders, rename them, and move documents between locations at any time.
Search & Filtering
The search bar in Manage Documents allows you to find files quickly by name. You can also filter the document list by folder to narrow your view. This keeps large document libraries manageable and easy to navigate.
Security & Access Control
Document access is controlled through a permissions model. Administrators can:
- Assign access tags to restrict who can view specific documents.
- Define role-based visibility rules so content is only shown to authorized users.
Manage document lifecycles, including updating tags and deleting files when they are no longer needed.
Organizing Your Documents in Document Manager
As your document library grows, use folders to group related documents and keep your workspace organized.
Creating a Folder
- In Document Manager, click the New Folder button in the upper-right corner of the workspace.
- Enter a name for the folder.
- Click Save.
- To upload documents directly into the folder, open the folder and click Upload.
Moving a Document to a Folder
- Locate the document you want to move.
- Under the Actions column, click the Location icon.
- In the Location panel, select the destination folder.
- Click Apply to move the document.
Tip: Organize documents into folders by department, project, customer, or topic to make them easier to find and manage.
